Maui Canoe Club Board of Directors Meeting March 19, 2009 at 2577 Omiko Place, Kihei, Hawaii

1. Huli Practice – discussion regarding the desirability for each Maui Canoe Club captain to have experienced being captain in charge of at least one huli, in either a real or a practice scenario.
MOTION by Bob, second by Karen: As a safety initiative for the club, by June 30 each approved captain and provisional captain who has never acted as captain in charge during a huli recovery will undergo a huli recovery practice as captain. APPROVED UNANIMOUSLY
2. Feedback on Bob and Bonnie meeting with attorney Keri Mehling on February 10. Discussion of recommendations regarding the club’s insurance policies, liability risks, and other miscellaneous items.
MOTION by Gerard, second by Bonnie: Allocate up to $1,500 towards further review by Keri Mehling of club liability issues. APPROVED UNANIMOUSLY
3. Continued discussion on limiting days/times allowing provisional paddlers to go out in response to recent membership survey.
MOTION by Mike, second by Gerard: During the 3 month period of January – March 2010 institute a policy of conducting members-only (i.e., non-provisional) paddling days on Fridays and Saturdays as a trial to see how it works. MOTION PASSED WITH SPLIT VOTE

AGAINST: Shel, Phil4. Community Outreach Status Report by Shel – the material outlined below is what is currently under review and consideration by the board. At a subsequent time the board will take action by agreeing with this draft or modifying it in some fashion. We will also obtain feedback from our attorney to see if there are any issues that might cause liability problems.
Maui Canoe Club is prepared to help in community needs and services. We are a south Maui non-profit organization. Our focus is to contribute to the south Maui community. The emphasis is on supporting children and youth, education, or the environment associated with south Maui first, and secondly with Maui County overall.
Other organizations are more prepared to be involved in national and world projects. It is the projects that are close to our home and hearts where we can contribute meaningfully.
This can occur in several ways.
1. Membership Donation – donating full or provisional membership donation for auction
2. Providing canoes and crew for a funding event – the organizers of the event would be primary in setting up the event(s). Our canoes, equipment and crews and the generosity of our member volunteers are available for fund raising activity.
3. Guidance and Manpower – We have a membership that is very diverse and can provide assistance in advice and hands on work for projects not necessarily associated with canoeing.
4. Education – We are prepared to train and educate youth in a variety of subjects including Hawaiian canoe education.
5. Funeral at sea – We will assist in services for burial at sea. Our canoes, equipment and crews and the generosity of our member volunteers are available.
6. Monetary Donation to other causes – None. At the General Membership meeting it appeared that members were supportive of MCC contributing monetarily to the community. Most concerns seemed to be about the process. It was decided by the MCC Board that no funds of club membership and provisional membership be used as an outright monetary donation. The reason for this is we do not have a great amount of funds in excess of budget and demands for funds would always be greater than expected with subsequent disappointment of many requesters.5. This item was put on hold awaiting input from Pamela Miller and the owners of the Hina.
6. Treasurer’s Report
Roughly $30,000 in checking and savings with several hundred more to be deposited in the next few days.
7. Long Distance Paddles update by Mike
Special longer distance paddling events will be conducted periodically beginning in the next few weeks.
8. Discussion on Jeannie Kaiser’s request to allow Kihei Canoe Club “pink ladies” to go out in Maui Canoe Club canoes.
MOTION by Bonnie, second by Karen: Kihei Canoe Club Pink Ladies members will be allowed to paddle in Maui Canoe Club canoes on Tuesdays at 8:30 AM for a period of four weeks. Each person must sign a waiver. Captains must be Maui Canoe Club approved captains. APPROVED UNANIMOUSLY
9. Discussion regarding continuing ongoing Maui News ads to recruit additional paddlers.
Tabled for now.
10. Canoe Blessing ceremony on April 8.
The Board strongly supports this event and will encourage all available members to attend.
11. Maui Canoe Club T-Shirts/Rashguards
Members have volunteered to coordinate this and more information will be forthcoming.
12. Spring “End of Whale Season” Pot-luck Party
This event has been scheduled for Thursday, April 2 at 5:30 PM.
13. Changing provisional paddler fees from 4 for $25 to $10 per outing.
This issue brought up at the meeting is currently under consideration by the board.

I was thinking it would be best to wait unitl after our regatta on April 4th.

Looks like a productive meeting. In reference to community oureach, I would like to see us consider a scholarship to a young paddler…maybe somewhere between $500-$1000.

I have seen and verbally received a few responses that regretted
,,,the decision by the MCC Board that no funds of club be used as an outright monetary donation.
The compelling argument for not using funds is that we are not a large coorporation and do not have a great amount of excess funds; therefore, request ,however small, would always be greater than expected and many requesters would be disappointed. The door would be open: Why here and not there? Why this cause and not that one. What would be the the process for determining who or what need?
It was not any easy decision by the Board.
The subject could certainly be re-opened for the right circumstance and a compelling need. -
Quite a productive board meeting. I’m very glad to see that all captains will soon have to have experienced a true or practice huli. Nothing like the real thing to give you confidence in handling an unexpected one. I also wish to support Jonnie’s suggestion for an educational scholarship to a young paddler. I have suggested this in the past, but it went nowhere. Not only will it help a needy young person/family, but it’s good PR for the club. See you all in June.

4. The board continued discussion regarding changing pricing for provisional paddlers. No changes to the current pricing have been made at this time.

I suggest leaving the visitor rate as is. I would like to encourage visitors to have this Hawaiian experience. Having a very reasonable price is one way to encourage them.

Dale and others; I also want to encorage vistors to the hawaiian experience of outrigger paddling. It is an adminstration
nightmare trying ascertain whether its the 2nd or was it the third paddle for the 4 for $25. It is required to find the previous waiver. Check the number of times which may or may not be correct. A single fee basis per paddle and each with a waiver is better legally and easier to control. Perjhaps $10 is too high. Would $5 be better? Could we go to $7 and deal with the change for a ten issue? Therefore i settled on $10. Its a bagain when you consider visitor activities. I am not stuck on the $10: but iwould be better at one price one shot. Could we do it some other way?

I too think that we should do all we can to enhance visitors’ enjoyment of Maui. Let’s do our part to help the tourism industry, which is about all Maui has going for it. I think $10 for only one paddle is OK, but that starts to add up for someone who wishes to go out multiple times. I would vote for the current schedule, which I believe is $10 for one, $15 for two, and $25 for four, with the possibility to update to the next level at any time. I recognize that it may be a bit of a hassle to come up with the papers for signing off on multiple times, but I would not get too up tight about the signing off process (past the first one, of course). I think a little sloppiness here is OK. If someone cheats and goes out 5 or 6 times, what have we lost? And I expect many people sign up for four times and don’t make all of them, so financially it’s a wash.

Ok, in talking to David W. on the beach today there may be a legal issue. This issue can work pro or con … I’m not an attorney. the thing that has to be checked is does the waiver once signed valid for multiple times. On the ither end of the spectrum it might appear that a multiple waiver shows sincereity in joining and thus the word “provisional”. This shoild be brought up to our legal cosel.

Until you are surrounded by 15 or more people waiting to sign up it may be difficult to imagine the hassle. The people who handle this come early, and get this organized. Other people contribute in other ways.
Members are you ready to contribute this time and effort. It is easier now that many snow birds have left.
Remember your schmooze time with friends before paddle will be limited.

I read your 25 March comments and while I see the point, it seems to me that this is a single grant of a one-time educational scholarship that is awarded on merit & need. It’s good PR for the club, and doesn’t seem to me to open the door for other requests. And, even if it does, we are doing something nice for a community member, and if we have to turn down others, so be it. (It’s not like some clown asking the club to pony up some dough for a transmission overhaul for his yellow 1955 Ford pick-up).
I also would like to stick with the $10 for one paddle, $25 for four trips. It is a hassel for whoever is doing it, and I’ve done it many times, but seems “right” to me.

With our very limited funds, I think we should not provide a scholarship grant. That would be singling one person out of many who are qualified and needy. While I’m sure that one person would be pleased, I think that a better outreach to the community would be to sponsor weekend paddles for high school kids who don’t have the opportunity. That would give them a chance to experience paddling, and may lead some of them to join the club in the future. I would especially like to see this opportunity extended to non-haole kids, as we seem to be a rather ethnically skewed group of paddlers. This may be a way to reach out to them and their families.

I agree with Al on the monetary grant. the Board had already discussed this and its disavantages.
I do agree with Al on the support of kids. Al bayless and I spoke about this in regard to the charter School. I think the idea could be to all. If Al would like to head up this endeavor I would be happy to be the board member pivot man on it. So Al , lets talk and see how we can implement this idea.Shel

Maui Canoe Club Board of Directors Meeting May 5, 2009 at 2577 Omiko Place, Kihei, Hawaii

1. Treasurer’s report:

Petty cash balance $1202. Review of Ka’onoulu Beach sand dune discussion with Bob Richardson and County officials.
Bob and Shel recently held a discussion on the club beach with Bob Richardson of South Maui Volunteers and Kihei Community Association, Zoe Norcross the coastal geologist with the State Land Agents and with the Maui Planning Department who works on all dune issues in South Maui, and Kaeo AhSau who is the South Maui Supervisor for the Parks and Recreation Department.
The outcome of the meeting was that it would be best for the current dune system and the efforts to rebuild the dune blown out by the December 2007 storm if the club would move our three canoes currently located on the south dune farther to the north near where Amelika Uiloa is currently located and where there is sufficient space.. This will require cleaning some brush in order to clear sufficient space to place the 3 canoes in their new location and Gerard will spearhead this effort.
The club will embark on the dune restoration project in cooperation with Bob Richardson’s volunteers under the guidance of the County and the State. Once the canoes are relocated, temporary posts will be placed where sand fencing is to be installed to rebuild the dune.
3. Pink Paddlers request to use club canoes to train for an upcoming long distance paddle trip to and around the island of Molokai and back in the month of October.
The club’s insurance policy does not cover club activity beyond 3-miles offshore.
The board is checking into additional legal/liability issues regarding this request.
4. Revised Membership Waivers.
The board requested that the club attorney draw up a revised Membership and Provisional Membership waiver forms to better protect the club against liability. Additional questions regarding these new forms were raised and will be pursued with the attorney.
5. Safety Guidelines
The board discussed pros and cons of the club’s current safety guidelines. Phil will propose changes for the board’s review. Shel will go through the equipment acquired for long-distance paddling activities to ensure that what we actually have matches what is on the list.
6. Sailing Canoe Trials
The board discussed the pros and cons of acquiring a sailing canoe.
MOTION by Shel, second by Gerard: to establish a committee to research many issues related to this possible acquisition and present a proposal for the board’s consideration. Shel to chair this committee with members Mike Elam, Gerard Gifford, and David Williams.
MOTION PASSED7. The board authorized the purchase of a club sewing machine for $200 to be stored at Corinna Cooney’s residence to be used to fabricate iako covers.
8. Replace board member Gordon Bosch who has officially resigned.
MOTION by Shel, second by Gerard: appoint Karen Brewer a permanent board member replacing Gordon.
